Process
Exactly what happens, and when.
Most people who ask us have never hired a marketing partner before. Here is the whole thing, step by step, so nothing is a surprise.
The four phases
From first call to a working month.
Every engagement moves through the same four phases. Each one says what happens, how long it takes, what you give us, and what you get back.
-
Phase 01
Audit
Week 1
- What happens
- A 30-minute call where we look at your website, your search visibility, your social channels and any ads you are running. We tell you what we see, plainly.
- How long
- 30 minutes on the call, and the written summary within two business days.
- What you give us
- Your website address. Links to your social and ad accounts help, but no password is needed at this stage.
- What you get back
- A one-page written summary: what is working, what is leaking, and the first few things we would do. Yours to keep.
-
Phase 02
Proposal
Week 1
- What happens
- If the audit shows we can help, you get a written proposal. It sets out the work, the order, the timing and the fixed price.
- How long
- Within two business days of the audit call, and usually sooner.
- What you give us
- A decision, or a list of questions. Both are welcome, and neither commits you to anything.
- What you get back
- An itemised, fixed written quote, including the list of what is not included.
-
Phase 03
Onboarding and launch
Weeks 2 to 4
- What happens
- We agree the order of work, then build. Every account is set up in your name, so you own it from day one.
- How long
- Usually two to four weeks for a website. Starting social media or ads is faster.
- What you give us
- Access to the accounts involved, your brand assets, and a decision when there is a choice to make.
- What you get back
- The finished work, a walkthrough of what was built, and a handover session so you can make simple changes yourself.
-
Phase 04
Ongoing work
Every month after
- What happens
- A steady rhythm of work, reporting and decisions. The section below describes a normal month, day by day.
- How long
- Month to month, with thirty days notice to stop.
- What you give us
- Approvals and feedback inside the working week, and the budget for any ad spend.
- What you get back
- Finished work, a monthly report built from the numbers in your own accounts, and a short list of what to do next.
The monthly rhythm
What a normal month looks like.
Once the work is running, every month follows the same shape. This is the clearest answer to what you are paying for each month.
| When | What happens |
|---|---|
| Days 1 to 5 | We finish the previous month and send the report: what we did, what it produced, and what we recommend next. |
| Day 10 | The month is planned and agreed: what is being made or published, in what order, and what needs your approval. |
| Day 20 | A mid-month check. If something is working, we put more behind it. If something is not, we change it early. |
| Last working day | The month is delivered and the accounts are left tidy. The next report is already being written. |
This is the rhythm for ongoing work. A one-off project, like a website, follows the four phases above and has a clear start and finish.
What we need from you
Five things, asked for once.
Setting this out early keeps the work moving later. None of it is a surprise, and none of it is more than you would expect.
- Access: logins for the accounts involved. They are added to your accounts, never ours, and we never ask you to move a password to us.
- A decision-maker: one person who can say yes. One decision is faster than a committee.
- Feedback: notes inside the working week, so a single approval does not hold up the whole month.
- Ad budget: paid directly to Google or Meta, on your own account, and kept separate from our fee.
- Brand assets: your logo, any brand colours and fonts, and photographs you already own.
We ask for all of this once, at the start, so there is no drip-feed of requests each week.
Reporting
The same report, every month.
You get a report in the same shape each month, so the numbers can be compared month to month.
- The month in one line.
- What we did: a short list of the work that went out.
- What it produced: the numbers from your own accounts, set against the month before and the same month last year.
- What it cost: the ad budget and where it went, if you are running ads.
- What we recommend next: two or three plain actions, in priority order.
- Anything that needs your decision.
Every number in the report comes from an account you can open yourself, so you can check any of them. We never put invented figures in a report. Before we start, we show you the exact template, so you know the shape of what you will receive.
How we communicate
Few channels, clear rules.
You should never have to wonder who to ask, or when you will hear back.
-
Email
For everything, from a quick question to scope, quotes, approvals and decisions. Answered within business hours, usually within a couple of hours on a weekday.
-
A short monthly call
To walk through the report and agree the next month. In Hong Kong time, and remote by default.
-
One point of contact
The specialist who wrote your quote answers your messages and does the work, so the person you met is the person you keep.
Messages that arrive outside business hours are answered on the next business day. You always know who you are talking to and what happens next.
Leaving
What happens if you leave.
A clear exit is part of a professional engagement. Here is exactly what you keep, and how the handover works.
- Ongoing work runs month to month. Thirty days notice is all it takes to stop.
- On leaving, you keep your domain, your website, your accounts, your content and your data. All of it was set up in your name, so there is nothing to hand back.
- Any assets we built are delivered within five business days of the final invoice, and we attach no leaving fee.
- We remove our own access to your accounts, and confirm in writing that we have.
- You can keep the work going with someone else, or with no one at all. There is no lock-in.
A clear exit is part of a professional engagement. You always know exactly what you keep, and how the handover works.
Questions
Timelines and onboarding.
How soon can we start?
After the audit and the written quote. Most projects begin within one to two weeks of the quote being accepted, and we confirm the start date in writing before you commit to anything.
What do you need from me before work begins?
Access, a decision-maker, your brand assets, and the ad budget if you are running ads. The full list is above, and we ask for it once, in a single request.
Who actually does the work?
The specialist who wrote your quote does the work and answers your messages. You have one point of contact from the first call through to the handover.
What happens if something is late?
We tell you as soon as we know. If a delay is our fault, we say so and put it right. If it is outside our control, you still hear it from us first.
