Personal information collection statement

In short
A PIC statement is the notice that must sit beside every form on this site. It tells you, before you type anything, why we collect your details, which fields are required and which are optional, who may see them, and how to ask us to show or correct them. This page is the full version of that notice. The four-line summary beside each form is the same promise.
What this page is, and where it applies
The Personal Data (Privacy) Ordinance (the PDPO) is the Hong Kong data privacy law. It requires an organisation to tell you what it will do with your personal data at the moment it collects it. That notice is called a Personal Information Collection statement, or PIC statement.
We publish it in two places. A short version sits directly beside each form on this site, so you can read it before you submit anything. This page is the long version, with the full detail behind each line.
It applies to the two forms on this site, the free marketing audit form and the general contact form, and to the details you send us when you email or message us directly.
Why we collect your information
We collect personal data for a short, specific list of purposes. We do not collect it for anything else, and we do not use it for a new purpose without telling you first.
- To reply to your enquiry and arrange the free audit you asked for.
- To prepare a quote or proposal if you request one.
- To deliver a service after you become a client.
- To send marketing messages, but only if you have opted in separately.
- To keep the site secure, block spam and understand how it is used.
These purposes follow the data protection principles in the PDPO. We collect only what is necessary for them, and no more.
What each form asks for
The free audit form asks for your name, your email address, your business name and a short note on what you need help with. It also offers a website address, which is optional.
The contact form asks for your name, your email address, the service you are interested in and your message.
What is required, and what is optional
Every field is labelled on the form itself. The rule is simple: the required fields are the ones we need to answer you, and everything else is optional.
- Required: your name and a way for us to reply to you, which is your email address. On the contact form, the service you need and your message are required, so that the enquiry reaches the right place.
- Optional: your business name, your website address, and any extra detail you choose to add.
- Optional and separate: the marketing consent box, which is never ticked for you.
Leaving an optional field blank changes nothing for you. If you cannot provide a required field, we will not be able to answer your enquiry, because we would have no way to identify it or to reach you.
Direct marketing, and how to say no
We send marketing messages only to people who have opted in. The marketing box on each form is separate from the box that lets us answer your enquiry, and it is not ticked by default. Ticking it is entirely your choice.
If you opt in, every message we send includes a way to unsubscribe, and an unsubscribe takes effect straight away. You can also withdraw your consent at any time by emailing us.
We never sell your personal data, and we never pass it to another business so that it can market to you. Withdrawing marketing consent never stops us replying to an enquiry you have already sent.
Who may receive your information
We do not sell your personal data. We share it only with the providers that run the site and our email, and only as much as each one needs to do its job.
- Our website host, which serves the site and receives the form submissions.
- Our email provider, which delivers and stores our email.
- Our analytics provider, and only if you have consented to measurement.
- A customer relationship or booking tool, if we use one to arrange your audit call.
These providers act only on our instructions, and we do not allow them to use your data for their own purposes. Some of them hold data outside Hong Kong. When that happens, we choose providers with recognised security and privacy commitments. The privacy policy sets this out in full.
Your access and correction rights
Under the PDPO you have the right to see the personal data we hold about you, and to have anything inaccurate put right.
- You can ask whether we hold personal data about you, and request a copy of it.
- You can ask us to correct anything that is wrong.
- You can withdraw your marketing consent at any time.
- You can ask us to stop using your data, or to delete it where we do not need to keep it.
To make an access or correction request, email us at hello@sparkevo.tech. We answer within 40 days, as the PDPO requires. We may ask you to confirm your identity first, so that your data is not released to the wrong person. Correction is free. An access request may carry a small fee that only covers our costs, and we will tell you the amount before we begin.
Changes to this statement
If we change how we collect or use personal data, we update this page and the last updated date at the top. A short note of what changed appears at the bottom of the page.
If a change is significant, we will make it clear rather than bury it.
